Restrict the data by splitting and merging columns:
- Split Columns by Delimiter like comma, space to separate data.

Step by Step Guide for Data Cleaning in Power BI

Step 1: Load Data into Power BI
To load data from various data sources like Excel, SQL Server, CSV, open Power BI Desktop. Click on Home → Get Data and select the data source and click Transform Data to open the Power Query Editor.

Step 2: Remove Unnecessary Columns and Duplicate Rows
Identify and remove columns that are not needed by selecting them and clicking Remove Columns. Go to the appropriate column where you want to remove duplicates and Click Remove Duplicates under the Home tab by right-clicking on the selected column.

Step 3: Handle Missing Data
Handle missing data by removing empty rows, replacing null values, and using fill up or down.
- Remove Empty Rows → Click Remove Rows → Remove Blank Rows.
- Replace Null Values → Right-click on the column → Replace Values → Enter replacement values (e.g., 0 for numerical data, “Unknown” for text).
- Fill Down or Up → If missing values should inherit from above/below, use Fill Down or Fill Up.

Step 4: Correct Data Types
Ensure that the columns have the correct data types like Text, Date, Number, Boolean, etc. Select the column and Click on Data Type in the Transform tab and choose the correct type.

Step 5: Split or Merge Columns
- Split Column: If data is combined in one column, use Split Column → By Delimiter.
- Merge Columns: To combine multiple columns, select them, click Merge Columns, and choose a separator.

Step 6: Standardize Data Formatting
- Trim and Clean Text → Remove extra spaces and non-printable characters.
- Select column → Click Transform → Trim & Clean.
- Convert Case → Change text case (Upper, Lower, Proper).
- Click Transform → Format → Uppercase/Lowercase/Capitalize Each Word.
Step 7: Handle Inconsistent Data
To fix spelling errors or inconsistent category names, use Replace Values. Use Conditional Columns to categorize or clean data automatically.
Step 8: Remove Errors
Click on Remove Errors to filter out rows with errors in calculations or transformations.
Step 9: Rename and Organize Columns
Give meaningful column names for better clarity. Drag and rearrange columns as needed.
Step 10: Apply Changes and Load Data
Click Close & Apply to save transformations and load clean data into Power BI.
